The School District of Horicon is nestled in the heart of the internationally-known Horicon Marsh and is home to approximately 800 students. In August 2020, our brand new elementary school was completed, offering district services on one PK-12 campus. We anticipate our new athletic complex to be completed in August 2022 for the 2022-23 school year. We have exciting things happening in our District and we are growing!! The Horicon School District is seeking qualified candidates for the District Registrar/Operations Support position. The overall purpose of the position is to perform necessary duties for the efficient operations of the District Office by maintaining and updating student records, and providing support in Accounts Payable, Payroll, Reception and other operational functions as needed. This is a full-time, benefited position to include the following: Enrollment in the Wisconsin Retirement System Health Insurance Dental Insurance Long Term Disability Short Term Disability Group Life Insurance Tax Sheltered Annuity 403(b) Paid Time Off (Sick, Personal leave, and Vacation) Paid Holidays PRINCIPAL DUTIES AND RESPONSIBILITIES • Process and maintain all open enrollment applications via the Department of Public Instruction OPAL website, including alternative applications and tuition waivers. • Register and withdraw students, create Parent Portal accounts, monitor and maintain online registration. • Plan and attend all 4K/5K Registration Days; help to plan/coordinate Summer Registration Days and Parochial School Night. • Develop mastery of student information system (PowerSchool) for in building use, coordination and submission of state/federal required reports, security and maintenance. • Responsible for the preparation and submission of the Department of Public Instruction WISEstaff reporting. • Responsible for the submission of the Transportation, Census and School Calendar Reports to the Department of Public Instruction. • Oversee distribution of census forms to private schools and perform data entry of census information and complete the associated Department of Public Instruction reporting. • Assist with the Parent/Student Handbook including yearly updates. • Assist with maintaining “vendor” and “order for” master files within the Specialized Data Finance System. • Request W-9 and certificates of insurance from vendors. • Perform purchase order entry within the Specialized Data Finance System, place orders and maintain voucher filing. • Perform data entry of accounts payable within the Specialized Data Finance System. • Assist callers regarding accounts payable questions. • Cross-train and serve as the backup to payroll and the reception area. • Perform employee entry into PowerSchool, assign passwords, lunch ID’s and assist with district personnel files. • Perform other duties as assigned by the District Administrator to ensure an effective and efficient District Office. KNOWLEDGE, SKILLS, AND ABILITIES: • Demonstrate professional and respectful demeanor and work cooperatively with families, staff, and administrators. • Excellent written and verbal communication skills. • Outstanding organizational abilities. • Must be able to work independently and in a team setting. • Willingness to cross-train and assist with all secretarial duties as needed in the District Office. • Must have excellent customer service skills with great attention to detail along with the ability to multitask. • Proficient in Microsoft Office and willingness to learn the student and finance information systems (PowerSchool and Specialized Data Systems). • Ability to handle confidential matters, requiring a high level of ethical behavior. EDUCATION AND EXPERIENCE: Candidate must be 18 years of age, with a valid Wisconsin driver’s license, hold a high school or equivalent diploma, and pass a background check. Three years office experience with student record administration and accounts payable knowledge preferred. Associate Degree or Technical Diploma in Office Management, Administrative Assistant, or Business Administration desired but not required. Strong computer literacy required.
